SXSW 2025 – Campus Signage Coordination

The Challenge
SXSW 2025 required urgent support for signage production across its vast downtown campus. I joined mid-cycle to help the Experience department manage a rapidly growing workload and ensure seamless brand and wayfinding integration across the Austin Convention Center and surrounding venues.
My Role
I was responsible for designing, coordinating, and managing over 200 signage requests from concept to installation—nearly 4,000 sq. ft. of large-format print materials. These signs supported departments including:
- Conference Programming
- Sales & Exhibitions
- Music, Film & TV
In addition, I provided logistical and production support for the broader signage ecosystem totaling over 15,000 sq. ft. of installed work.
Strategy & Execution
Using Airtable as a centralized project tracker, I managed:
- A high-volume intake system to organize signage requests by department, location, type, and production schedule
- The design, proofing, and production of 202 signage pieces — all completed within a 3-week sprint
- On-site deployment across dozens of venues, including access coordination, installation timing, and breakdown logistics
I built on templates developed by the internal production team, adapting them to meet late-stage needs and shifting requirements. On-site, I helped troubleshoot issues and ensured signage was correctly deployed and maintained throughout the festival.
Results
- On-brand signage across dozens of venues with minimal issues
- Attendees experienced little to no wayfinding friction
- Quick issue resolution on-site ensured smooth operations
Post-Event
I supported invoice reconciliation, sign tracking, and project retrospectives. I also contributed concepts for improving signage in 2026, including early-stage mockups of advanced wayfinding approaches.
